The chasing trap

"Please send your bank statements" — sent three times, buried under supermarket newsletters. Clients are not being difficult; email was never designed as a document filing system. Every chase costs the practice credibility and the client embarrassment.

Phone chases scale even worse. They work for urgent issues but destroy partner time across hundreds of clients.

What portals fix (and what they do not)

A client portal gives one branded front door: log in, see what is due, upload once, done. Deadline visibility means clients self-serve before you chase. Activity audit means you can prove what was sent and when — useful for dispute-prone files.

Portals do not replace relationship. They replace ambiguity. The best firms pair portal structure with a single named contact for complex questions.

Rolling out without friction

Start with new clients — portal from day one in the engagement letter. Migrate existing clients on document-heavy workflows first (year-end packs, VAT quarters). Send one invite, one sentence of explanation, one deadline.

Practices that measure "chase emails per return" usually see a sharp drop within two cycles. That time goes back to advisory — or goes home on time.
